Buyer

A Buyer is responsible for procuring raw materials, ensuring the product is of the best quality with the correct quantity being delivered timeously. Liaise and maintain professional working relationship with suppliers and production management


KEY JOB FUNCTIONS:

Purchasing Function

  • Receive various triggers to purchase and place orders to satisfy production demand and maintain stock levels.
  • Capture orders and order confirmations/acknowledgments within the designated time frame.
  • Regularly liaise with suppliers to meet delivery deadlines and prevent overdue deliveries.
  • Expedite orders in line with expedite reports distributed by Materials Planning and database indicators (black/red inventory health) and provide feedback.
  • Defer orders in line with defer reports distributed by Materials Planning and provide feedback.
  • Regularly share open purchase order reports (OSPO) with suppliers and request feedback on expected supplier due dates.
  • Maintain PO supplier due dates through the Syspro Due Date app.
  • Ensure that order delivery concerns are escalated timeously to prevent and resolve shortfalls.

Purchase Order Management

  • Continuously liaise with all suppliers to ensure shipments are ready on time for dispatch.
  • Capture shipment id’s (SID) and shipment arrival dates through the Syspro Due Date app for all new import shipments.
  • Liaise with Import Logistics and suppliers to ensure that collection arrangements are followed through.
  • Prepare and acquire approvals for air freights through the prescribed channels

Stakeholder Relationship

  • Build and maintain respectful and professional relationship with suppliers and internal customers.
  • Ensure that all relevant supplier information is communicated to the procurement department to maintain supplier database.
  • Ensure that all relevant supplier information is communicated to materials planning to support the planning function.
  • Manage on time in full (OTIF) order fulfilment with suppliers.
  • Regular updating of suppliers’ contact details.

Quality Control

  • Receive and evaluate SCAR’s from Quality Control (QC) department.
  • Distribute SCAR’s to suppliers.
  • Follow up with suppliers on SCAR’s to ensure feedback within designated deadlines.

Administration

  • Perform invoice verification for service providers where applicable.
  • Continuous updating of relevant order information in Syspro.
  • Continuous updating of required dashboard information.
  • Regular distribution of various reports to suppliers.

Adhoc

  • You will be required to do ad-hoc duties from time to time

 


QUALIFICATIONS AND EXPERIENCE:

  • Minimum: NQF Level 4 qualification Certificate in Purchasing.
  • Ideal: Supply Chain Management Qualification or related field.
  • Experience: At least 3 years’ experience in Buying

COMPETENCIES:

  • Problem solving and Analytical skills
  • Exceptional organisational skills with the ability to prioritize.
  • Excellent working knowledge in MS Office Suite (Excel, Word, Outlook, PowerPoint, etc).
  • Intermediate excel skills
  • Must be a diligent person with a high regard of mutual respect.
  • Excellent interpersonal communication skills
  • Ability to work under pressure
  • Team player
  • Keen attention to detail and accuracy.
